Handling Customer Complaints
Even the best business will receive an occasional customer complaint. Knowing how to resolve these complaints will help you gain loyal customers who will then refer others to your business. Here are some important tips. 1. Listen carefully to the customer and gather as much information as possible. 2. Restate the complaint as you understand it. This ensures that you completely understand what the situation is. 3. Resolve the problem as quickly as possible. Tell the person you are sorry this happened and ask what you can to do to make this right. Do not argue with the customer, even though you are right and do not become defensive. 3. After correcting the problem, tell the customer thank you for bringing it to your attention and that you appreciate their business. 4. Develop a written policy for your staff to follow and reward them when they do a good job. Remember! The customer may not always be right, but an unhappy customer treated right may well be one of your most loyal customers. Take Care of Yourself Before You Take Care of Your Customer One of the most important questions people ask when they are focused on improving their quantity and quality of business is: "What is my competitive advantage? What makes me unique, memorable, special? what truly sets me apart from the rest?" While there are no definitively right answers to that question, most people come to some conclusion that customer service is a critical component of your competitive advantage. For most businesses, the service they offer can vary from exceptional to not so hot, depending upon circumstances. Renewing Customer Loyalty Every business loses customers, but not many do much about getting them back. And that is a big mistake. What Every Employee Should Know About Putting Positive Phrases Into Customer Service If you were a customer on the telephone with a question or complaint and were ready to make big purchase, which of the following phrases by this employee would make you feel welcome and want to complete your transaction? Which would drive you away?* I'm sorry. I didn't get that. We Got It Wrong: Never Under Promise & Over Deliver You know how it is, you believe something for so long, everyone agrees with you, all the books tell you it's true and then suddenly you have a blinding revelation - we've all been duped! Empowering Customer Service Vital It never fails to amaze me how many companies have employees who are empowered to offer former customers wonderful incentives to lure them back, yet their customer service representatives have the ability to offer virtually nothing to convince an unhappy customer to stay.Powerless, these CSRs often actually ignore customers' requests and declarations of their intent to leave, even encouraging them to seek out another company! They often repeat the few phrases they're allowed to say over and over again, further infuriating the customers. Whatever Happened To Customer Service? If there was a restaurant in your town that was physically attractive and clean, had a pleasant variety of entrées on the menu, served food that was prepared in an attractive manner, and the service was outstanding--the maitre'd greeted you by name, remembered which was your favorite table, stopped by later to inquire about your needs and satisfaction, the waiters and waitresses bent over backwards to make your dinner a pleasurable experience and always treated you as if you were their most important patron--would you be willing to pay a little more than other restaurants charged? Many of us will pay a more to obtain better treatment. Why? Today, outstanding customer service has become the exception rather than the rule.
